Overview

QuickQuotes is an internal Google Chrome extension used by authorized employees of The Dillon Company. The extension enhances Gmail by displaying quote-related information when an email corresponds to an existing or generated quote in our internal systems.

Information Accessed

The QuickQuotes extension operates only within Gmail and only for authenticated company users. It may access:

  • Email metadata necessary to identify the current Gmail message (such as message ID)

  • Quote identifiers and summary data returned from The Dillon Company’s internal quoting systems

The extension does not read, store, or transmit full email contents outside of what is required to match an email to a quote.

How Information Is Used

Information is used solely to:

  • Determine whether a Gmail message is associated with a quote

  • Display quote status, summary details, and a link to the full quote in our internal web application

All processing is performed to support internal business workflows related to quoting and customer service.

Data Storage and Sharing

  • The extension does not sell, rent, or share data with third parties

  • Any data exchanged occurs only between the extension and The Dillon Company’s secure internal systems

  • No personal data is used for advertising, analytics, or tracking purposes

Data Security

All communication between the extension and backend services occurs over encrypted connections. Access is restricted to authorized company users.

QuickQuotes is intended for internal business use only and is not available to the general public.

Spears AutoQuote Gmail Extension – Privacy Policy

Overview Spears Auto Quote is an internal Google Chrome extension used by authorized employees of The Dillon Company. When an employee opens a customer email in Gmail and clicks the Spears Auto Quote button, the extension suggests Spears Manufacturing part numbers for the items requested, so the employee can review them and copy them into the company's ordering system.

Information Accessed The extension operates only within Gmail, only for authorized company users, and only when the user clicks the Spears Auto Quote button. Nothing is read or sent before the click. When the user clicks, the extension accesses:

The subject and text of the Gmail message currently open

Files attached to that message (such as PDFs, spreadsheets, and images), so that part lists inside them can be read

Part numbers and quantities the user types or edits in the extension

The extension does not access other messages, the inbox list, contacts, or any other part of the user's account.

How Information Is Used Information is used solely to:

Identify the Spears items a customer is asking for

Suggest matching Spears part numbers from The Dillon Company's Spears catalog

Show the suggestions to the employee for review and copying

Nothing is sent to the customer, and nothing is entered into any ordering or quoting system automatically. The employee reviews every line and enters part numbers themselves.

Data Storage and Sharing

The text and attachments of the message the user clicked on are sent over an encrypted connection to The Dillon Company's own server for matching. The server does not save the email, its attachments, or the suggestions in a database. Attachments are held in temporary files only while they are being read, then deleted.

To read the request, the server sends the message text and the content of its attachments to OpenAI's API, a third-party service that does the reading. This is the only party outside The Dillon Company that receives this information. It is sent only to identify the requested items and is not used for advertising. Under OpenAI's API terms, data sent through the API is not used to train its models.

The extension keeps the quote the user is working on in the browser's local storage on their own computer, so work isn't lost if the panel or browser is closed. It stays on that computer, and the user can remove it by removing the extension.

The extension does not sell or rent data, and does not use data for advertising, analytics, tracking, or credit decisions.

The extension's use of information received from Gmail is limited to providing the single feature described above.

Data Security All communication between the extension and The Dillon Company's server is encrypted (HTTPS). The server requires an access key issued by The Dillon Company, so only authorized company users can use it.
